Purpose of Data Processing

When you register, we collect personal data about you and your child solely for the purpose of organizing and conducting the event “Little Woodland – 100 Roots for the Future” on 22 October 2026.

This includes, in particular:

  • Child’s first and last name
  • Date of birth or age
  • School and grade level (where requested)
  • Name of the parent or legal guardian
  • E-mail address
  • Telephone number
  • Voluntary consents, in particular regarding photographs and video recordings

Providing the information marked as mandatory is necessary for us to process your registration and organize the event.

Legal Basis

Your personal data is processed in accordance with Article 6(1)(b) of the General Data Protection Regulation (GDPR) for the purpose of processing your registration and organizing the event.

If you give your consent to the creation and publication of photographs or video recordings, this processing is based on your consent in accordance with Article 6(1)(a) GDPR. Your consent is voluntary and may be withdrawn at any time with effect for the future.

Registration via Jotform

We use Jotform to process online registrations. The data entered into the registration form is processed solely for handling your registration.

Where required, a Data Processing Agreement (DPA) has been concluded with the service provider. Further information about Jotform’s processing of personal data can be found in Jotform’s Privacy Policy.

Recipients of the Data

Access to your personal data is limited to employees of the Carl and Marisa Hahn Foundation who are responsible for organizing the event and, where necessary, to service providers engaged for this purpose.

Your personal data will only be disclosed to third parties where required by law or where you have given your explicit consent.

Data Retention

Your personal data will be stored only for as long as necessary for the organization, implementation, and follow-up of the event. After that, it will be deleted unless statutory retention obligations require otherwise.

Your Rights

Under the General Data Protection Regulation (GDPR), you have the right to:

  • obtain information about the personal data we process about you,
  • request the correction of inaccurate personal data,
  • request the deletion of your personal data,
  • request the restriction of processing,
  • receive your personal data in a portable format, and
  • object to the processing of your personal data, where the legal requirements are met.

Where processing is based on your consent, you may withdraw that consent at any time with effect for the future.

You also have the right to lodge a complaint with the competent data protection supervisory authority.
